Transcribing entails converting audio to written text and is often done for (scientific research). There are multiple ways in which spoken text can be transcribed, each of which have their own advantages. The most basic option is the verbatim transcript in which, for instance, catchphrases and repeated words are not included. How does it work?

We are happy to help you with the transcription of your interviews. To make it as easy as possible for you, we have written out the process, consisting of the following steps:

1. First, request a quote for transcribing your interviews;
2. Within 15 minutes, you will receive the quote in your mailbox. Note: If your quote extends the 300 minutes in total, we will personally contact you through e-mail with some additional questions before we send you the quote.
3. You agree with the quote. In case you have no further questions, you can start uploading your files. In case you do have questions, please feel free to contact us;
4. We will start transcribing your audio files as soon as possible;
5. In case you place your order as a private customer, you will be asked to complete payment in advance;
6. You will receive a notification e-mail as soon as the transcripts are available via our platform. 
7. Remember to download your transcripts from your dashboard! We will remove them after 60 days.
    

When will I receive my transcripts?

Transcript Online aims to deliver your interviews as soon as possible. Our standard delivery time is five to ten working days.

Standard delivery time can be changed at busy times.

Do you need your transcripts sooner? That is not a problem for us! Upon request we also provide urgent delivery, for which you will have to pay an additional fee. In case you do not need your transcripts within ten working days, you can select our delivery period of ten to fifteen working days. If you choose this option, we will give you a discount of five cents per audio minute.

Confidentiality

Transcript Online understands that your audio files contain confidential information. In order to ensure confidentiality our transcribers sign an agreement and we provide a non-disclosure agreement free of charge in which we declare that your files are accessible for our employees.

We use a secured server. Through this server you can upload your files. You can see a green lock symbol in the address bar of your webbrowser. This means that you are using an extra secured HTTPS connection.

Anonymizing your transcript

It might be needed that a transcript is anonymized. If this is the case, we would like to discuss this before you upload your files, so we can instruct our transcribers accordingly. Be aware that we charge an extra fee for this service.  

Ways of implementation

In case of a verbatim transcript, all errs, repeats and catchphrases are left out. This creates a transcript that is easy to read. This is not only the most common option, but also the cheapest.

In case of a literal transcript all errs, repeats and fillers are implemented. This alternative is often chosen in case of scientific research.

In case of a literal extra transcript laughter and meaningless agreement by the interviewer (such as yes’s and ahu’s) are also implemented.

Time stamps per minute 

Time stamps per minute or per 5 minutes easily enable you to find certain parts of the transcripts in your audio file. A time stamp will be included at the end of a sentence after one or 5 minutes by [1min], [2min], [3min] and is followed by a blank line. 

Time stamp per minute: + €0,20 p/m

Time stamp per 5 minutes: + €0,15 p/m

More than three speakers

In case your audio files contains four or more speakers we will charge an additional €0.25 per audio minute. 

Important: In this case no distinction is made between the different respondents or different interviewers. They will all be indicated by the same abbreviation (X or Y), but a blank line is left in between if another respondent takes over the conversation.

Quality control

In addition to safety, the quality of our transcripts is of paramount importance. To ensure the transcript is of high quality, each transcript is checked again upon completion by our experienced reviewers. That way, words that the transcriber could not understand or errors, can be corrected as much as possible. In this way you can be sure that the transcript has been worked out as completely as possible.

Words per minute

Files in which is spoken quickly, require more work and thus more time of our transribers. We therefore allow a maximum of 180 words per minute. When this amount is exceeded an additional fee of €0,25 p/m will be charged.

We will not accept audio files in which the speed has been altered.

Transcript Online: Personal contact

If you choose Transcription Online you can count on personal contact. We are available daily from 8:30 am to 5:00 pm to answer all your questions regarding quotes, transcripts, invoices and other matters.

Business billing

It is no problem to use business billing. Within our platform you can provide the necessary information before uploading, so that we can send the invoice after the transcripts have been delivered, to the correct billing department. However, if the information in your account is incomplete or a cost center number or equivalent is missing, we cannot start the service you request. Please be aware of this if you decide to use the business billing option.

Invoices are sent automatically. We will send you the invoice approximately 5 working days after delivery of the last transcript. If a new file is uploaded in the same project within these 5 working days, the invoice will be postponed.
